Terms & Conditions

 

Bookings

Bookings are only valid upon receipt of payment and completed booking form (including agreement to our terms and conditions as laid out on this page). To secure a booking with us we kindly request full online payment for services required at the time of booking. Reasonable exceptions may be made, at our discretion, for acceptance of partial payment as a deposit for our services under special circumstances, for example, when booking custom packages or for services not listed on our website. In this instance, we require a 25% minimum deposit to secure a booking with us. Any final outstanding balance must be paid in full no later than 6 weeks prior to the commencement of the hire period. Failure to do so will automatically cancel your booking and forfeit any deposit made.

 

Bookings made less than 6 weeks prior to the hire period must be made with immediate full payment upon booking. Any special requests, additional services or alterations to the booking must be confirmed with us in writing before the day of hire. The hirer agrees to pay any additional costs incurred as a result of these amendments. This could include a change of venue, additional pick up points or itinerary / timing changes and mileage. This list is not exhaustive.
 

Once a booking is made and confirmed, the price quoted to the hirer will not be changed by us, unless the hirer wishes to upgrade their booking to add additional available services. 
 

Cancellations

 

From the time of booking, if made more than 6 weeks before the hire period, we agree a grace period of 48 hours for you to cancel your booking with us at no extra cost and receive a full refund from us in the instance that you change your mind or have booked our services in error.

In the unlikely event that our vintage camper is not available due to accident, mechanical breakdown, or other unforeseen circumstances, we reserve the right to use a replacement vehicle for the duration of the hire period. However, we will always endeavour to inform customers of any such circumstances prior to the commencement of the hire period. In the event that a replacement vehicle is also unavailable within such circumstances, customers can request a full refund for any money paid. Vintage Dream Rides has no further liability to the hirer.

In the event of cancellation by the hirer, all deposits paid will be forfeited. For cancellations less than 6 weeks prior to the hire period, the full amount of the hire is deemed still payable and unfortunately cannot be refunded to the customer.
 

Periods of Hire

The hire period shall commence when we arrive with the vehicle at the first appointed location at our agreed time, and will remain until the duration of time at which your booking has ended (as outlined on your booking form and confirmed by us). All journeys and services must be agreed by us and should be determined at the time of booking. Any overrun of time longer than agreed will be charged at £30 per hour per vehicle (part hours will be rounded up to the nearest hour and will be granted at our discretion).
 

Unforeseen Circumstances

 

Vintage Dream Rides cannot accept responsibility for adverse weather conditions or acts by other persons or organisations which may impact our services or affect the duration of the hire period. No responsibility will be accepted for missed connections and/or functions missed or delayed, howsoever caused, including traffic congestion on route to your destination, or illness of customers or staff, including covid-19, all of which are out of our control.
 

The Vehicle

Whilst every effort is afforded to maintain the serviceability of the vehicles, responsibility cannot be accepted for mechanical, electrical or material breakdown, whatsoever. In this unlikely event, every effort will be made for the immediate repair to the vehicle so that the journey can continue, OR where possible a replacement vehicle will be provided. Vintage Dream Rides has no further liability to the hirer. In the event of a breakdown, if a replacement vehicle is provided, no further monies or compensation will be given. In the event of a breakdown or accident involving our camper prior to the date of hire, every effort will be made to supply an alternative vehicle at our discretion.
 

Food/Drink/Smoking

The consumption of food/food products or drink is not permitted unless authorised by Vintage Dream Rides. Our camper van is non-smoking therefore smoking inside the vehicle is not permitted. Any infringement of this policy will render your booking invalid, monies paid will be forfeited and the rental/service terminated.
 

Damage

The hirer shall be fully responsible and liable for any damage caused both inside and outside the vehicle by themselves or any member of their party, howsoever caused. This includes incitement to ANY third party which results in damage to the vehicle or its contents. The hirer will agree to be liable for the total cost of the repair and the company will determine the location of the repairer.
 

Personal Possessions

The company takes no responsibility for the hirer’s possessions (or any member of their party’s possessions) used or left in the vehicle. The hirer must make sure all possessions belonging to the hirer or any of their party are removed at the end of each hire period.
 

Behaviour

Vintage Dream Rides or its representative(s)/employee(s) reserves the right to refuse entry to the vehicle or to any person(s) they deem unfit, for whatsoever reason, and can refuse to continue the journey/service if any person(s) behave in a manner which may be detrimental to any other person or the vehicle’s contents. In this event no refund of monies will be given. A £100 valeting cost will be charged if the vehicle(s) or materials provided for services require additional cleaning due to food or drink spillages, carelessness or illness.
 

Seat Belts

Wherever possible seat belts must be worn. This is a requirement by law and must be adhered to. For further info visit www.childcarseats.org.uk. In the event that an adult chooses not to wear the seat belt provided, they do so at their own risk. 
 

Children

Children must be accompanied by a supervising adult whilst travelling in the vehicle.
 

Photographs & Videos

We reserve the right to take photos/videos of your event to be used on our website or promotional material. If the hirer does not consent to this, the company must be informed in writing at the time of booking.
 

Breaches of Terms and Conditions

If you commit a breach of these Terms and Conditions we will have the right to terminate your booking and request you vacate the vehicle immediately. A breach of these Terms and Conditions includes, without limitation, failure to comply with our instructions, health and safety advice or circumstances where your behaviour or that of your guests is likely to have a significant adverse effect upon the vehicle or people or property in the vicinity. In the event of you committing a breach of these terms and conditions no refund of the fees you have paid will be returnable to you.
 

Our Liability to You

Vintage Dream Rides will not be liable for any loss or damage suffered by you or any member of your party or to property belonging to you or your party, except where such loss or damage is due to our negligence. If the company is found to be negligent, our liability to you will be limited to the loss or damage which was a foreseeable result of such negligence. Except in the case of death or personal injury resulting from our negligence, our total liability to you in respect of any breach of these terms and conditions or other act or omission by us in connection with this contract shall be limited to the price agreed to be paid by you for the right to travel in the van for the period agreed.
 

Personal Data

When you book your service(s) with us, we collect personal information for business purposes, such as your name, email address, home address and telephone number. We will not share or use your personal data for any other reasons other than what is set out above.
